Information management and Purview alignment

IMPACT 365 is designed to strengthen Microsoft Purview outcomes by making information management consistent and scalable—without relying on site-by-site manual configuration.

  • Adaptive scopes for workspace types — Workspace templates can apply standardized workspace metadata so you can build Purview adaptive scopes that reliably target different workspace types (e.g., department sites, project sites, client engagement workspaces). This makes it easier to roll out the right policies to the right places as your environment grows, even as new workspaces are created.
  • Retention and sensitivity by design — Templates and compliance runs can ensure workspaces align with the right retention policies and sensitivity policies, reducing drift over time and helping you maintain consistent controls across SharePoint and Teams.
  • Default label settings for libraries and lists — Repository (library/list) templates can apply default retention labels and default sensitivity labels to support consistent classification and lifecycle management from the moment a repository is created.

Prerequisites for library and list templates (enterprise content types)

Repository templates for libraries and lists are most effective when your organization has a defined information architecture.

  • Enterprise content types are required — Library/list templates assume the presence of enterprise content types so repositories can be provisioned with standard columns, metadata, and information types.
  • Why this matters — Consistent content types and tagging help unlock enterprise capabilities like:
  • Reliable governance and reporting (the same fields exist everywhere, in the same way)
  • Repeatable workflows and solutions (automation can depend on consistent metadata)
  • Better findability through search and consistent structure
  • Stronger Copilot readiness by improving classification and context

Supporting centralized content and records use cases

If your organization centralizes content for records management or line-of-business processes (e.g., HR, procurement, a records centre), IMPACT 365 helps keep content traceable.

  • Business authority tagging — Content created in business workspaces can be automatically tagged with the appropriate business authority so that, when content is centralized, you can retain context about where it came from and which part of the organization owns it.
